What are the different ways I can set up my phone system to handle calls?

Out of the gate, your system is set up to forward callers to a temporary Main Greeting with the option to select Ext 0, which forwards callers to the contact phone number entered at signup.

Whether you have one employee wearing multiple hats or 20 employees working in different departments, Unitel Voice allows you to customize your phone system to accommodate your unique business needs and give your customers the best caller experience possible.

This guide will explain the two most popular ways to set up your phone system to handle calls and their variations. We’ve also provided links to step-by-step guides to walk you through each setup. 

1. Professional PBX Setup

Whether your company is a one-person show or a large team, we recommend this setup to all users because it gives your customers the best caller experience and leaves them with the impression that they have just called a professional business.

The “Professional PBX Setup” has two variations:

Professional PBX 1:

Forwarding your Unitel Voice phone number to your Main Greeting offering callers a menu of Department & Employee Extensions to choose from. And also, using an After-Hours Greeting to answer calls when your business is closed. 

For example, in this configuration when your customers call during business hours, they might hear your Main Greeting say something like this: “Thank you for calling ABC Company. To speak to our Sales Department press 1, for our Customer Support Department press 2, if you know your party’s Employee Extension you may dial it at any time. For our Dial-by-Name Directory please press 8.”

And when your customers call you when your business is closed, they might hear your After-Hours Greeting say something like this: “Thank you for calling ABC Company. Our office is now closed. Our normal hours of operation are 9am to 5pm Monday through Friday. If you’d like a member of our team to contact you, please press 7 to leave your name, number, and a brief message and we’ll follow up with you as soon as possible.”

Professional PBX 2:

Forwarding your Unitel Voice phone number to your Main Greeting WITHOUT mentioning a menu of Department & Employee Extensions. Some small teams don't have defined departments. This will professionally greet callers then forward them onto your team.

For example, in this setup, when your customers call your business they might hear your Main Greeting say something like this: “Thank you for calling ABC Company. To speak to the next available representative, please press zero now.”

2. Simple Forwarding Setup

Some customers do not need the main greeting and want their number to forward callers directly to another phone number, device (phone), mobile app, or voicemail. 

The “Simple Forwarding” has three variations:

Simply forwarding your Unitel Voice phone number directly to another phone number.
